To offer your clients greater flexibility in their upcoming travel plans, we have proactively initiated our flexible change/cancel policy. This will allow them to make the travel decisions that best meet their needs. Below, we’ve included details on how to support your clients’ bookings.

IMPORTANT: This information is subject to change at any time. We recommend you check back often.

If your client’s booking is cancelled due to labour action, follow our standard IROP process found here:

WestJet flight disruption/irregular operations (IROP) >

IMPORTANT:

  • Please use waiver code CUPEFA26 when processing the IROP. Do not use the standard IROP waiver code.
  • Commission:
    • If your client’s flight is cancelled by WestJet due to labour action, your commission will be protected.
    • If your client voluntarily cancels their flight under our flexible change/cancel guidelines, commission will be managed as per the standard policy and applicable fare rules (e.g., for refundable fares, if your client chooses to cancel all flight segments on the booking and receive a refund, commission will be recalled). Please review the policy for full details.

If your client’s flight isn’t cancelled, they may still choose to take advantage of our flexible change/cancel policy as outlined below.

*NEW* Wholly domestic flights only – IROPs at airport

If your client’s booking is impacted by an IROP while at the airport and they have already printed their bag tags, they may use Manage Trips to self-serve their booking.

*NEW* Handling IROPs in Manage Trips

If your client’s booking is impacted by an IROP due to labour action, you or your client may change or cancel their booking using Manage Trips on westjet.com. For cancellations requested using Manage Trips, please note:

  • GDS bookings: The flight segments will be cancelled by WestJet. Your clients will automatically receive a refund for any seat or bag fees purchased directly with WestJet. You will receive a QQ message letting you know that your client has cancelled their flight. However, after cancelling their booking, your client must contact you and you will be required to process the refund to original form of payment.
  • WestJet Agent Direct bookings: The flight segments will be cancelled, and the refund will be processed by WestJet (including seat and bag fees). There is no need for you to call the Travel Support Team to receive a refund.
  • WestJet Biz bookings: These cannot be processed using Manage Trips. Please call the Travel Support Team at 1-877-664-3205 to change or cancel.

*NEW*Reaccommodating on partner airlines

If your client’s flight is cancelled due to labour action, you may rebook them on a WestJet Encore flight or onto one of our partner airlines. IMPORTANT: This partner rebooking policy is an exception as a result of labour action. Please ensure you follow the processes as outlined below or the booking will be subject to an Agency Debit Memo (ADM) of $300 local currency and an ADMIN fee up to $50.00 local currency per ticket.

GDS bookings

The chart below outlines the specific processes that must be followed when rebooking onto a partner airline. Please note the following important points:

  • To assist with high call volumes, please do not call the Travel Support Team for assistance with a GDS booking. Follow the process below to self-serve exchanges. If you call the Travel Support Team to reaccommodate on a partner airline and the booking could have been self-served, you will be subject to an ADM of $300 local currency and an ADMIN fee up to $50.00 local currency per ticket.
  • Process exchanges as an even exchange, as would be done for an IROP or schedule change.
  • When processing an exchange, ensure the required OSI and endorsement fields are included. The endorsement field must contain both the WestJet waiver code and the applicable partner airline comments as indicated in the chart below.
  • When rebooking on a partner airline, you must choose partner wholly marketed/operated flights. Partner codeshare flights are not eligible.
  • The following booking types are not permitted under these agreements: Industry discount tickets, industry employee non rev, staff travel, buddy passes and similar non rev travel products.

If your client chooses to change/cancel their booking, please reference the chart below for the steps that must be followed. The chart also includes guidance on when a ticket must be rebooked to waive the fee and/or difference in fare. Detailed instructions can be found following the chart.

Please note the following important points:

  • The flexible change/cancel policy is in effect as of July 23, 2026 at 1:30 p.m. MT. Any changes or cancellations processed before this time will result in an ADM.
  • All tickets issued on 838 stock are eligible for the flexible change/cancel policy. Itineraries where all flight segments are operated by WestJet Encore and/or are codeshare or interline flights operated by our airline partners will continue to operate as planned.
  • The following flight number ranges will not be impacted unless they are combined with a flight operated by WestJet mainline:
    • 3250–3899: WestJet Encore operated flights
    • 4480–4499: WestJet Encore extra section flights
    • 4500–8849: Codeshare flights

Air-only bookings: WestJet and groups

IMPORTANT: Please ensure you follow the below or the booking will be subject to an Agency Debit Memo (ADM) for the full value of the ticket and an ADMIN fee up to $50.00 local currency per ticket.

WestJet air-only bookings will be allowed a one-time change or cancellation for no fee if they follow the guidelines in the chart as well as meet the terms and conditions below.

  • All fare bundles are eligible, including UltraBasic. Please see booking channel processes below for UltraBasic fare guidelines.
  • Changes or cancellations must be requested more than 2 hours prior to departure (excludes same day changes). For changes or cancellations within 2 hours of travel, regular change and cancel fee rules apply.
  • Changes:
    • If your client is changing to the same origin and/or destination or a geographically close origin/destination (within 320 kilometres/200 miles) and at least one segment is departing within 60 days of the original departure date, the difference in fare is waived and no change fee will be charged. The exchange must be completed by the date in the chart. UltraBasic fares are eligible to follow these guidelines.
    • If your client rebooks the same origin and/or destination or a geographically close origin/destination and wishes to travel after 60 days from their original departure date, no change fee will be charged but the difference in fare will apply. The exchange must be completed by the date in the chart. UltraBasic fares are eligible to follow these guidelines.
    • Your clients may book a new origin and/or destination for no fee, but the difference in fare will apply. The exchange must be completed by the date in the chart. UltraBasic fares are eligible to follow these guidelines.
    • No blackout dates apply.
  • Cancellations:
    • Depending on the booking channel, non-refundable fares (excluding UltraBasic fares) will remain as an open ticket for 13 months from the first coupon date or returned to Corporate Travel Bank.
    • UltraBasic fares are eligible for a change for no fee until the date in the chart. After this date, UltraBasic fares can remain as an open ticket for 13 months and should follow Econo fee and fare rules. Please see booking channel processes below for UltraBasic fare guidelines.
    • Refundable fares may be returned to original form of payment or remain as an open ticket for 13 months from the first coupon date.
    • Any portion paid with WestJet points, Travel Bank credit or a WestJet Rewards companion voucher will be returned to your client’s account and the original expiration date (if applicable) will apply.
    • If your client cancels their booking, any portion paid with WestJet points or a WestJet Rewards companion voucher that has expired or is expiring within 60 days will be reinstated with a new expiry date 60 days from the date of reinstatement.
  • Bookings are eligible if they are issued on WestJet 838 ticket stock. Flights must be wholly marketed or operated by WestJet, including Encore.

    • Refundable fares may be returned to original form of payment or remain as an open ticket for 13 months from the first coupon date. Regular fare rules apply when reissuing after the date in the chart.
  • Changes:
    • Changes must be completed by 11:59 p.m. MT on the date in the chart. If they are processed after this date, regular fare rules and applicable fees. Please ensure you follow this date or you will be subject to an ADM.
    • For UltraBasic fares: Changes must be completed by 11:59 p.m. MT on the date in the chart. After this date, Econo fees and fare rules apply when rebooking.
    • For round-trip journeys, at least one segment must depart within 60 days of the original departure date to have the difference in fare waived.
  • There is no need for you to call to receive a waiver code if your client would like to change or cancel. Complete the change to the booking in your GDS and enter the waiver code CUPEFA26 into the endorsement field to waive the fee and/or difference in fare (excluding UltraBasic – please see below for process).
    • This waiver code can only be used when processing a change or cancellation by the date in the chart.
    • Waiver codes entered into the Tour Code, Ticket Designator or any other field will not be honoured and will result in an ADM.
    • UltraBasic fares:
      • For changes made by the date in chart: Complete the change in your GDS and enter the waiver code CUPEFA26 into the endorsement field to waive the fee and/or difference in fare.
      • For changes made after the date in the chart: Enter the waiver code CUPEFA26 into the endorsement field when reissuing the ticket. Econo fees and fare rules apply.
  • Rebook in the original class of service in the same cabin by the date in the chart.
    • For UltraBasic (A, E), Econo (L, K, T, X, S, N, Q, H) and EconoFlex (M,B,Y), if the original class of service is not available, rebook at the next highest fare class up to and including Y class.
    • For Premium (R, O) and PremiumFlex (W), if the original class of service is not available, rebook at the next highest fare class up to and including W class.
    • For Business (D, C) and BusinessFlex (J), if the original class of service is not available, rebook at the next highest fare class up to and including J class.
    • If a seat is not available in the same cabin, you will need to select a different flight.
  • Commission:
    • For refundable fares, if your client chooses to cancel all flight segments on the booking and receive a refund, commission will be recalled.
    • If your client only partially cancels their booking (e.g., one segment), the commission on the remaining segments will be protected.
  • Cancellations:
    • Refunds must be completed by 11:59 p.m. MT on the date in the chart. Refunds completed after this date are subject to regular fare rules and applicable fees.
